HOLDING DEPOSIT 2 WEEK’S RENT
When terms have been agreed with the Landlord for a rental property, the Tenant will be required to make a holding deposit equivalent to two week’s rent to secure the deal. This amount will be deducted from the first month’s rental payment. If you withdraw from the deal after this point, or references do not meet our criteria, this sum will not be refundable and will be used to cover the administration costs involved.
REFERENCES (Individual Lets) £60.00 plus VAT PER PERSON
References will be taken on all Tenants/guarantors and the tenant will be charged for this service.
REFERENCES (Company Lets) £75.00 plus VAT
The Landlord reserves the right to obtain references for a company let.
ADMINISTRATION FEE 1 WEEKS RENT, Renewals £100.00 plus VAT
This fee is payable by the Tenant to cover the administration costs involved in processing the Tenancy. A discounted rate will be payable on any renewal or extension.
SECURITY DEPOSIT 6 WEEKS RENT
A security deposit of six weeks rent will be required for all tenancies, payable in advance.
CHECK IN / OUT
The Tenant will be responsible for paying the Check-out Inventory fee at the end of the Tenancy which will cost £100 plus VAT. Where we are responsible for the management of the property, this sum will be taken before the Tenancy starts and held for this purpose. In other cases the deposit will usually be deducted from the security deposit and the costs may differ to those above. The cost will vary according to the size of the property.
If you require a check in during the office hours 10am-7pm, that would be FREE of charge for you. If you require a check in after office hours between 7pm – 10am Monday to Friday, all day Saturday / Sunday and public Holidays the charge is £100.
PLEASE NOTE THAT CLEARED FUNDS MUST BE RECEIVED BEFORE A TENANT CAN MOVE INTO A PROPERTY TO COVER;

Please note that debit and credit card payments are accepted for initial holding deposits and fees only and cannot be used to pay the balance of rent and deposit.
KEYS
The number and sets of keys given to you when you move in is recorded and one set of keys will be given to each tenant named on a tenancy agreement. If you lose/break your key, a replacement will cost £125 per key (this is a specialised key and lock that is unable to be copied). Charges will also apply for changing the lock.
If you are locked out of your flat and need someone to meet you at the property to let you back in during office hours, there will be a £45 call out charge. If you are locked out after office hours, please call our Key Holder on 07787 448 433. There is a call out charge payable at the time. Between 5:30pm and 10pm Monday to Friday the charge is £85. Between 10pm - 9am Monday to Friday, all day Saturday / Sunday and public Holidays the charge is £135. If you do not pay the fee at the time he attends, it will be added to your rental account for payment.
The Key Holder will only be able to open your flat after hours, he cannot give you new keys if you have lost keys – for this, you will need to contact the office the next working day. Please do not call the Key Holder for non emergencies as he will instruct you to call the office when it opens. If Key Holder is called out for any other reason than an emergency, there will be an afterhour’s call out charge of £135 which will be added to your rental account for payment.
Upon termination of the tenancy, you must return the same keys you were given when you moved in otherwise you will be charged for a replacement, plus the cost of re-installing our specialised locks.
MAINTENANCE
If something goes wrong in your flat, please call our property management office on 0844 854 6269 or email to management@londonvilla.co.uk and give us the details of the problem. We will then arrange to fix the problem. We will endeavour to send someone as quickly as possible, but if there are other emergency issues at the time, then they must take precedence. Non urgent issues will be scheduled according to the maintenance schedule (usually within 10 days). Please see the Emergencies page for further information regarding out of hour emergency procedures.
If a contractor is turned away when they arrive to carry out pre-arranged or emergency work, the cost of the call out will be added to your rental account for payment. This can vary depending on the contractor, but is generally between £60 - £150 per call out.
LIGHT BULBS
It is your responsibility to change your light bulbs when they burn out. If you need a ladder to change the light bulb, email info@londonvilla.co.uk and we will schedule our maintenance person to assist. You will need to provide the new bulb(s) and our maintenance personnel will assist with a ladder. Please note that if he arrives and finds that you could have reasonably reached the bulb yourself then you will be charged £30 for the call out of our maintenance person. If you have not provided the necessary bulbs, then you will also be charged £10 per bulb. Charges will be added to your rental account for payment.
RUBBISH AND MAIL
Please check your local council’s website for details about what days of the week rubbish is collected from your street. If you are uncertain about where to put your rubbish then please call the office and we will let you know. Do not put your rubbish on the street on the wrong day, or in any internal part of the building that is not a designated rubbish store. This will cause pest infestations and you could be subject to a substantial council fine. If you are to leave the rubbish within unauthorised parts of the building or the outside of the front door - that is a subject to a fine of £50 which applies once reported by the block manager or any of the LondonVilla member of stuff.
There will always be a problem with junk mail, and mail addressed to people that no longer live at the address. All the tenants should take pride in their building and help to bin junk mail, and redirect/return to sender any mail addressed to someone that used to live in your flat! It’s really just common sense, and it will make your home a much more pleasant place.
LINEN PACKAGE
There is a linen package we supply on request at a cost of £100. The package includes: 2 pillows with pillow cases, 1 duvet with a cover, 1 flat sheet, 2 bath towels, 2 kitchen towels.

CLEANING
If you require a cleaning of your flat to be arranged any time during the term of your tenancy, we can arrange it at a cost of £15 (plus VAT) per hour (min 2 hours). Our experienced staff are well trained specifically for your apartment and can have your flat cleaned quickly and efficiently.
SMOKING
All LondonVilla apartments are declared to be stricktly non-smoking. Any tenants who are in breach of this rule within rental accomodation is a subject to a £80 fine. Charges will be added to your rental account for payment.
